Dear WAIB /AIB Conference Attendees,

In order to meet one of WAIB’s goals which is to
facilitate and promote networking among members, WAIB
officers have been looking into options for childcare
services during the Presidential Reception and the Gala
Dinner at the 2005 conference in Quebec City. Below follows
some information about three options that may be useful to
you as you plan your travel to Quebec City.

Please Note:  Neither WAIB nor AIB will provide childcare
service directly. WAIB and AIB offer only a communication
forum and decline all responsibility and liability that may
arise from use of this forum in arranging childcare or
baby-sitting.

At present, we have identified THREE options:

1. Arrange your own childcare through “barter” with
friends.

The WAIB list-serv provides a means for you to contact
members with similar needs, in the same way that we have
been encouraging WAIB members to organize room-sharing at
the conference hotels.

2. Arrange private childcare and baby-sitting services
through the professional agency that works with the
conference hotels.

In this case you should contact the concierge of your hotel
directly for information and reservations. Rates are
US$12.00 per hour (minimum of 3 hours). Note that the
manager of the childcare agency does not use email, so you
cannot make email reservations directly.

3. Make use of a group childcare service for children aged
5-10 that would be organized by the Convention Center in
cooperation with the childcare agency.

NOTE again that neither WAIB nor AIB will be contracting
with any party, simply providing information.

In order to evaluate the feasibility of arranging for option
3 (a group service during the Presidential Reception and the
Gala Dinner), we need to know NOW how many conference
attendees would use such a service.

No “drop-ins” will be allowed.

More information about this third option is provided below:

Childcare during the Presidential Dinner or Museum Gala
Event

Childcare location:  In the conference center.  Buses will
run from the conference center to the Museum Gala Event.

Time: 6:30-10:30pm

Age range of children:  between 5 and 10 years of age.
Younger children will require making private arrangements
using options 1 or 2 above.

Rate: US $45.00 plus tax for each dinner event. This maximum
rate could be less dependent upon demand and might range
down to US $37.00 plus tax.

Specifics:  A room in the conference center will be staffed
with at least 2 childcare providers from the local childcare
agency.  Childcare provider ratios will be kept at 1:6 or
less.  This agency is the same one used by the hotels to
provide private childcare arrangements to hotel guests.  The
room will also have toys and activities for the children.

Food/beverages must be provided by the parents or can be
purchased for an additional cost via the Conference Center
food services.

Parents will be required to fill out appropriate forms with
the childcare agency and pre-arrange the service through a
link that will be created on the AIB Conference Website if
there is sufficient demand.
